Connect your bank

Accepted Answer

With a bank connection, Booko fetches your transactions automatically. You give permission at your own bank, through our regulated open-banking provider. Booko only gets read access to transactions, balances and account details.

Steps

Go to Settings > Bank connections (or click Connect bank on the Overview).
Click Connect bank.
Under Account type, choose Business or Personal.
Click Select Your Bank and pick your bank from the list.
Under Years to import, tick the years you want to fetch. Banks usually provide one to two years of history.
Click Continue to bank and sign in at your own bank to give permission.
Back in Booko you'll see Bank account connected! Click Go back to settings.
Open the Connection options (…) menu and choose Sync Transactions.

Good to know

You only sign in at your own bank. Booko support will never ask for your bank password, login codes, IBAN or BSN in chat.
Under Connection permissions you see until when access is valid. Click Renew access in time.
Use Change years to adjust the import years later.
Disconnect stops automatic syncing. Transactions already imported stay.
Bank not listed? Import a bank statement instead (see "Import a bank statement").

Still stuck?

The bank authorization was cancelled or could not be completed. Try again via Connect bank.
Status Access expired or Reconnect required? Click **Renew

Question 2

Create a Booko account

Accepted Answer

Creating an account takes a few minutes. You confirm your email address and then choose whether you use Booko as a business owner (client) or as an accountant.

Steps

Go to app.booko.nl.
Open the Sign Up tab.
Enter your Full Name, Email and Password (at least 6 characters).
Click Sign Up. You'll see Check your email.
Open the email from Booko and click the confirmation link.
On the Welcome to Booko screen, choose Client if you want to keep your own books, then click Continue as Client.
Next, you set up your administration (see "Set up your administration").

Tip: if you see Continue with Google, you can also sign in with your Google account.

Are you an accounting firm?

New firms are set up together with Booko. Contact us in the chat and a colleague will help you.

Good to know

Invited by your accountant? Don't create a new account; use the link in the invitation email (see "Accept an invitation from your accountant").
Booko support will never ask for your password or login codes in chat.

Still stuck?

No confirmation email? Check your spam or junk folder and make sure the email address is correct.
Getting an error when signing up, or want to open a firm account? Ask for a colleague in the chat.

Question 3

Overviews, reports and exports

Accepted Answer

As a business owner you see your key figures on the Overview and export your invoices to CSV. The full reports (such as balance sheet and profit & loss) are produced by your accountant in Booko.

View your figures

Go to Overview.
Income & expenses shows your Income, Expenses and Result. These amounts are Based on your invoices · excluding VAT.
Choose the Year and view the Monthly figures.
On Revenue, the top shows what is Outstanding, Overdue and Paid this month.

Export to CSV

Go to Costs or Revenue.
Set filters if needed (for example a period with From and Through).
Click Export. You download a CSV file of the filtered documents.

Reports from your accountant

In the client workspace, accountants find Accounting > Reports: Balance sheet, Profit & loss, Period comparison, Trial balance, General ledger, Cash flow and Annual report. Exchange & export includes the XAF export. Want such a report as a business owner? Ask your accountant via Messages.

Still stuck?

Data unavailable or Totals could not be loaded.? Click Try again.
Figures look wrong? First check that all invoices are processed (To review tab on Costs). If there's still a difference, ask your accountant or ask for a colleague in the chat. The chat can't check amounts in your administration.

Question 4

What do the processing statuses mean?

Accepted Answer

After uploading, Booko reads your invoice with AI and proposes a booking. The status shows how far processing is and whether someone still needs to look at it.

Statuses while uploading

Waiting / Uploading… – The file is being sent.
Queued / Classifying… – The AI is reading the invoice.
Auto-classified – The AI is confident enough about the result.
Needs check – The AI is unsure or something is missing. Someone needs to look at the invoice.
Failed – Uploading or processing didn't work.

Tabs on the Costs page

To review – Documents that need your or your accountant's attention, such as Review needed or Possible duplicate.
In progress – Booko is still processing.
Processed – The invoice has been processed.
All costs – Everything together.

In their own workspace, your accountant also sees the status Checked: the accountant has reviewed the booking.

What should I do?

An invoice says Review needed? Open it with Review and compare the details with the document (see "Check and correct an invoice").
The Overview shows how many invoices await review. Click Review to go through them.

Still stuck?

An invoice stays In progress for a long time or shows Failed? Use Retry processing if that button is visible.
An invoice stays on Needs check although everything is correct? See "Invoice stuck on Needs check" or ask for a colleague in the chat.

Question 5

Invoice settings and company details

Accepted Answer

Your company details and invoice preferences appear on every sales invoice. Make sure they're complete before you start invoicing.

Company details

Go to Settings > Company.
Fill in your details, such as Legal business name, Trading name, Chamber of Commerce number, VAT number, Business address and Contact details.
Optionally add a Company logo (or use Change logo / Remove logo).
Click Save changes.

Invoice preferences

Go to Settings > Invoicing.
Under Invoice numbering, set the Prefix and Next number, and choose Reset yearly or Never reset.
Set your default Payment term (in days).
Enter your bank details (Account holder and IBAN) so customers know where to pay.
Under Invoice footer, add a fixed text at the bottom of your invoices.
Check the Invoice preview and click Save changes.

Good to know

If you change the numbering, Booko asks you to confirm with Confirm and save.
Payment reminders states that automatic reminders are not available yet; no reminders are sent.
Booko support will never ask for your IBAN, password or login codes in chat. Only enter them yourself in the app.

Still stuck?

Enter a valid IBAN. Check the IBAN for typos and spaces.
Can't set the numbering the way you want, or already issued invoices with a wrong number? Ask for a colleague in the chat or check with your accountant.

Question 6

Import a bank statement (MT940, CAMT.053, CSV)

No automatic bank connection yet? Download your transactions from your bank and import the file into Booko yourself.

Which files?

MT940, CAMT.053, or bank CSV.

Steps

Download an export of your transactions from your bank (MT940, CAMT.053 or CSV). Choose your bank in Booko for export guidance.
In Booko, go to Transactions and click Import transactions. You can also use Settings > Bank connections > Import a bank statement.
Choose the file.
Under Choose a bank account, pick the account to import into, or click Create account [IBAN] to add the detected account.
Check the Import Preview and click Import.
Your transactions now appear under Transactions.

Good to know

Imported the wrong file? Right after importing you can click Undo; you'll see Import undone.
Lines parked in suspense (1799) pending a VAT decision? Your accountant will finish those.
A bank statement contains your IBAN. Only share bank files through the app, never in chat. Booko support will never ask for your IBAN, bank password or login codes in chat.

Still stuck?

Bank account does not match? Choose the right account or create the detected account.
No transactions found in this statement file. Check that you exported the right format and period.
The statement could not be imported. and it keeps happening? Ask for a colleague in the chat and mention the file format and your bank (don't send the file
