Team members, roles and permissions

Working with several people in your firm? Invite colleagues and give them a role. The role determines what someone can do in Booko.


Invite a team member


  1. Go to Settings > Team members.
  2. Click Invite team member.
  3. Enter the email address and choose a Role.
  4. Click Send invitation. Your colleague receives an email and creates a password through the link.


Open invitations appear under Pending invitations, where you can also Revoke invitation. Remove a colleague with Remove from firm.


Built-in roles


  • Owner – can do everything, including removing clients, the firm profile and connect settings.
  • Senior Accountant – can do almost everything, but can't remove clients, change the firm profile or connect settings, or manage custom roles.
  • Junior Accountant – can view client data, create/edit journal entries, export, manage tasks and send messages. Can't approve or override AI classifications, invite clients or staff, or delete data.
  • Viewer – can only view client data.


Custom roles


Settings > Roles & permissions shows who can do what. The owner can use Create custom role: choose a Base access level and tick permissions such as Invite clients, Approve AI classifications, Create / edit journal entries, Export XAF / CSV or Send messages.


Still stuck?


  • Don't see Invite team member? Your role lacks the Invite staff permission. Ask the owner.
  • This staff invitation is expired or no longer valid.? Ask the owner to send a new invitation.
  • Want to change the firm owner, or lost access to the owner account? Ask for a colleague in the chat.
